What this policy covers

AI Powered Therapist LLC operates aipoweredtherapist.com. This policy covers consumer health data handled through APT’s self-help tools, Clarity conversations, saved notes, human-support services, and therapist inquiries. It supplements our Privacy Policy. If the two policies differ about consumer health data, this policy controls for that data, subject to applicable law.

Consumer health data can include information linked, or reasonably linkable, to you that reveals your physical or mental health, your efforts to obtain support, or an inference about your health. Information can receive these protections even when you enter it into a self-help tool rather than a clinical service.

Information we collect and why

The information involved depends on the features you choose and what you submit. Please avoid unnecessary identifying details about yourself or other people.

  • Reflections and health-related content: messages, check-in answers, relationship context, symptoms, emotional concerns, support goals, and screenshots or other material you submit. This may include diagnoses, medication, treatment, sexuality, reproductive health, disability, or other sensitive matters if you put them in your content. We process it to provide the reflection, tool result, or support you request.
  • Voice and video information: audio and related transcripts or generated responses when you use voice AI; camera, microphone, room, and participant information when you choose live video support. These features process information to operate the interaction you start. Device permission alone does not authorize unrelated use.
  • Generated information: AI responses, summaries, suggested interpretations, and other inferences associated with your input or account. These help deliver the requested feature; an AI inference may be inaccurate and is not a verified diagnosis.
  • Saved history: notes and eligible sessions you choose to save, together with account references and dates, so you can revisit your work. Saving a note does not give an independent therapist access to your history.
  • Requests for human support: contact information, inquiry text, selected provider, location you supply, scheduling or fulfillment information, and support correspondence. We use these to handle the inquiry or service you request.
  • Related identifiers and activity: account and contact identifiers, IP address, browser/device information, requested pages or tools, consent choices, service/payment references, and security or diagnostic events. These can be health data when linked to a health-related interaction. They support delivery, account administration, troubleshooting, security, and handling privacy requests.

We also process relevant information to investigate a reported problem, respond to a privacy request, and satisfy applicable legal obligations. A general reference to security or legal obligations does not permit unrelated collection or override a consumer health-data right.

Where the information comes from

  • You: information you type, speak, upload, save, or submit through an inquiry, support interaction, or privacy request.
  • Your browser or device: technical information and permissions associated with your use of the website.
  • The services you use: AI-generated outputs and service providers’ delivery, payment-status, security, or operational information.
  • People handling your requested support: an assigned coach, a selected independent provider, or APT support staff may contribute information about the inquiry or service they handle.

What we share and who receives it

The categories above may be processed by the recipients below as needed for the stated purpose. The information involved varies by feature; using one feature does not authorize every recipient to receive your full history.

  • Hosting and infrastructure providers, including GoDaddy: site records, saved information, and related technical data used to host, secure, and back up the website.
  • AI service providers, including OpenAI: input, relevant conversation context, audio when used, and generated information needed to produce the response you request. AI processing involves an external service; ending the on-screen conversation is not confirmation that the provider has deleted all its records.
  • Human-support and communication providers: an assigned coach and video infrastructure such as Daily may process the content and session information needed for the requested support. Email delivery and mailbox services, including Microsoft 365 for APT’s business mail, may process contact details and correspondence you send or receive.
  • A therapist or practice you choose: the contact and inquiry information you direct to that recipient. The provider’s own intake and privacy process governs information you submit directly to that practice.
  • Payment processors, including Stripe: billing/contact details, transaction identifiers, and service references needed for a requested purchase. Please do not put private reflections or a health history in payment fields.
  • Measurement and security providers: Google Analytics through Site Kit, when enabled under the applicable cookie choices, and security services such as Wordfence may receive technical or usage information. A page address or tool interaction can itself reveal an interest in health-related support. APT’s policy prohibits using private self-help entries for third-party advertising or retargeting.
  • Authorized APT personnel and service contractors: relevant information needed to operate the requested service, investigate a problem, or process your privacy request.

Disclosures to legal authorities, advisers, or a successor business are limited to circumstances permitted or required by applicable law. These categories do not create an exception to consent, authorization, or other health-data requirements.

Related practices and voluntary sharing

Pathways Counseling Services is a related practice through co-founder Stephanie Levitt. It does not automatically receive your APT conversations, saved notes, or health history because of that relationship. It may receive the information you choose to send when you contact Pathways or select a Pathways provider. No other affiliate is identified as a recipient of consumer health data under this policy.

You can choose to share a note or other information with your own therapist. That choice does not grant access to unrelated APT records. A therapist’s access to information is separate from your decision to use an AI tool, accept site terms, or save a note.

We collect and share consumer health data to the extent necessary to provide the service you request, or with the consent required by applicable law. Where separate consent is required for sharing, it must be distinct from consent to collect. General terms, an age confirmation, microphone permission, and optional cookie choices do not provide blanket permission for unrelated health-data use.

To withdraw consent or ask APT to stop future collection or sharing, use the Privacy Request form or email admin@aipoweredtherapist.com. Identify the feature and what you want stopped. You may also stop an interaction and decline to provide more information. A feature that needs the information may no longer work for you. Withdrawal and deletion are separate requests; you may ask for both.

APT does not sell consumer health data. We do not use private self-help content for third-party advertising or retargeting.

Third-party collection and your browser

Third-party analytics, embedded media, and external services may use identifiers that recognize a browser over time or across websites. Technical activity can reveal a health-related interest even without a message’s text. Use to review or reject optional categories, and see our Cookie Policy. Necessary service processing and information you send directly to another website are separate from those controls.

APT does not authorize third parties to use your private self-help content to build advertising profiles. This policy does not describe every outside website’s practices; review the recipient’s policy when you leave APT or choose its service.

Access, correction, deletion, and appeals

You may ask whether APT collects or shares your consumer health data; request access and information about recipients; ask to correct information; withdraw consent; or request deletion. Where applicable, recipient information includes the third parties and affiliates involved and a way to contact them.

Start here: use the Privacy Request form or email admin@aipoweredtherapist.com. You do not need to create an account. Give the email or existing account associated with the information and describe your request without sending a detailed health history. We may seek information reasonably needed to verify identity. Never send a password, full payment-card number, or unnecessary identity document.

You can review and delete individual saved Clarity notes in your Console. For correction of a saved record that has no edit control, use the request form. You may request data deletion without closing your account, or request account deletion.

Appeal a decision: use the same form’s privacy-question option or email with the subject “Privacy appeal.” Include the request reference, the decision, and why you want it reviewed. We will explain the outcome in writing. You may also contact your state attorney general or privacy regulator; Washington consumers can use the Washington Attorney General’s health-data privacy resources, and Nevada consumers can use the Nevada Attorney General’s complaint resources.

Applicable deadlines and permitted exceptions govern requests. Washington’s health-data law generally requires a response within 45 days of receipt, with one permitted 45-day extension and notice. Nevada generally allows 45 days after authentication, but requires covered deletion within 30 days after authentication, subject to its backup exception. Covered appeals receive a written response within 45 days. We will explain any legally permitted extension, refusal, or retained information. APT does not unlawfully discriminate against someone for exercising privacy rights.

Saved records, deletion, and backups

Automatic retention enabled September 7, 2026 (Arizona time). The following routine schedule applies to the active website stores listed below. You can request deletion sooner; these routine periods do not postpone a valid request or a shorter applicable legal deadline.

  • Saved Clarity notes and saved member sessions: 365 days from the original save. Viewing an item does not restart its clock. Your Console shows scheduled expiry dates and offers a download of your own saved items.
  • Therapist inquiries: 30 days from receipt for inquiries that have been routed or closed. Unresolved inquiries are flagged for operator review starting at day 23. An unresolved inquiry is not automatically erased while its handoff still needs attention; any justified extension must be documented and reviewed.
  • Nonclinical written and video support: content is eligible for removal 90 days after a recorded completion or closure. This includes the mapped coach-thread messages, summaries, event content, and private room/access details. Necessary payment references and financial records are separate. Open requests are reviewed at 90 days; an unfinished linked session, safety concern, missing completion date, or documented hold prevents routine removal until reviewed.
  • Delivery copies: sent or canceled message bodies, recipient copies, and error text are cleared after seven days from creation. Necessary delivery metadata is retained up to 180 days after sending or cancellation. Linked inquiry and support notifications are also cleared when the underlying content is removed. Failed or pending deliveries are flagged for review rather than silently removed.

Reminders and transition: saved notes and member sessions require 30-day and seven-day email reminders before routine automatic removal. Emails do not contain saved text. If a reminder cannot be submitted successfully, removal pauses and the issue is flagged for review. A successful mail handoff does not guarantee inbox delivery, so you can also check the date and download a copy in your Console. Existing saved items and mapped support content receive an initial transition through October 8, 2026, at 5:53 p.m. Arizona time; items with later scheduled dates keep those later dates. A delayed reminder gives the affected saved item its full notice period.

Cleanup runs daily in bounded batches. Documented legal, privacy-request, safety, or unfinished-service holds require operator review and remain until deliberately released. A hold is not permission for unrelated use or an indefinite exception to your rights. Missing or unreliable dates are reviewed rather than guessed.

Limits of this first schedule: it does not establish automatic expiry for historical standalone CBT, Present Mode, or Companion records, licensed therapists’ clinical records, financial ledgers, or external-provider copies. Those records require separate review and remain subject to applicable privacy requests. Minimal internal record references and cleanup dates support verification and reconciliation after a restore without copying deleted message content.

APT’s hosting dashboard showed daily backups and a 30-day available history on September 7, 2026. Removing a record from the active website does not instantly remove every backup, email, or external-provider copy. A deletion request therefore requires review of those copies and notification to relevant recipients where required by law. Any permitted delay for archived or backup data must remain within the applicable legal limit; a backup is not a blanket exemption from deletion.

We will explain any information that must be retained and the applicable reason. This policy does not waive a shorter legal deadline or authorize continued use for unrelated purposes.

Changes and contact

We will keep this policy’s effective date and direct homepage link current. Material changes will be identified in a conspicuous website notice and, where appropriate, an account notice or email. Before adding health-data categories, recipients, or purposes that require new consent, we will provide the required notice and obtain that consent. Continued browsing alone is not that consent.
